How to Compare Removalist Quotes Line by Line

Three removalists walk through your house in the same week. One quotes $1,450, one quotes $2,300, and the third sends a figure of $1,890 with a page of fine print.

Three removalists walk through your house in the same week. One quotes $1,450, one quotes $2,300, and the third sends a figure of $1,890 with a page of fine print. The cheapest looks obvious until moving day, when the crew arrives an hour late, the truck is too small and the final invoice reads $2,600.

Learning to compare removalist quotes properly is the difference between a predictable move and an argument on the footpath with your fridge half out the door. I have helped family and clients through more house moves than I can count, and the same handful of line items explain almost every surprise bill. Here is how to read them side by side.

Why Removalist Quotes Rarely Match

Quotes vary because companies price risk differently. One firm assumes everything goes to plan and quotes the minimum. Another builds in an extra hour for the steep driveway it noticed during the walkthrough. Neither is lying, but only one is likely to match the final bill.

The biggest source of difference is the pricing model itself. Before comparing numbers, sort each quote into one of two types.

Quote typeHow it is chargedMain risk for you
HourlyRate per hour for truck and crew, often with a minimum of 2 to 4 hoursSlow loading, traffic or access problems add cost
Fixed priceOne agreed figure based on a listed inventoryItems not on the list are charged extra

You cannot compare an hourly estimate with a fixed price directly. Convert the hourly quote into a realistic range by asking each company how many hours they expect, then add 25 percent for the things that always go slower than planned.

The Line Items That Change the Final Bill

Most surprise charges hide in the same places. Ask every company to state each of these in writing, even if the answer is zero.

  • Call out or travel time. Many hourly movers charge from when the truck leaves the depot until it returns. A depot 40 minutes away adds well over an hour to your bill.
  • Stairs and long carries. Third floor walk-ups and carries over 20 metres from the truck often attract a surcharge.
  • Heavy or awkward items. Pianos, pool tables, safes and large glass tables are usually priced separately.
  • Packing materials. Boxes, tape and mattress covers can add $150 to $400 if the crew supplies them.
  • Fuel levy and tolls. Small on a local move, significant on an interstate one.
  • Weekend and public holiday rates. Saturday moves often cost 10 to 20 percent more.

Put every quote in a simple spreadsheet with these rows. Gaps jump out immediately, and the cheapest quote often stops being the cheapest once you fill them in.

Get the Inventory Right Before You Compare

A quote is only as accurate as the list of items it is based on. If one company saw your garage and another did not, their figures are not comparable.

Write your own inventory first, room by room, including the shed, the garden furniture and anything stored under the house. Send the same list to every company and ask them to quote against it. This also forces you to decide early what is actually coming with you; our guide on deciding what to keep before a big move makes that step faster.

Video walkthroughs are fine for flats and small homes. For a three bedroom house or larger, insist on an in person visit or at least a detailed video call. Quotes made from a phone conversation alone are the ones most likely to change on the day.

Insurance and Liability Are Not the Same Thing

Many people assume the removalist is responsible for anything that breaks. Usually that responsibility is limited. Standard liability may cover a small amount per item or per kilogram, nowhere near replacement cost.

Ask three direct questions. What is the company's liability limit if they drop something? Do they offer transit insurance, and at what price? Does it cover items you packed yourself, or only those they packed? Many policies exclude owner packed boxes, which is worth knowing before you spend three weekends filling them.

Check if your home contents policy already covers items in transit. Some do, often with conditions, and that can save you buying a second policy.

Why the Cheapest Quote Is Not Always the Trap

The standard warning is to avoid the lowest quote because it must be hiding something. In my experience that is too simple. Smaller local operators often quote lower because they have less overhead, no call centre and a depot five minutes away.

What matters is how the low quote is built. If it lists the same inventory, the same crew size and the same truck size, and states the extra charges in writing, it may genuinely be the best deal. If it is vague on hours, crew numbers or materials, the low price is a starting point, not a final figure.

The quote I trust least is not the cheapest. It is the one that refuses to commit to anything on paper.

Questions to Ask Before You Sign

  1. How many movers and what size truck are included?
  2. When does the clock start and stop on an hourly job?
  3. What happens if the move runs past the estimate on a fixed price job?
  4. Is a deposit required, and is it refundable if the settlement date moves?
  5. Will the same company do the move, or is it passed to a subcontractor?

That last question matters more than people expect. Some booking companies take the job and hand it to whichever crew is free. The quote looks professional, but you have no idea who will turn up. Settlement delays are also common, so a flexible deposit policy is worth paying a little more for. If your dates are tight, the final days are covered in our piece on the week before a move nobody plans properly.

FAQ

How many removalist quotes should I get?

Three is usually enough. Fewer gives you nothing to compare against, and more than four takes time without making the decision clearer.

How far ahead should I book a removalist?

Four to six weeks for a local move, longer for interstate moves or the end of a month, when settlements and leases cluster and good crews fill up.

Can I negotiate a removalist quote?

Often, yes. Midweek dates, flexible start times and packing your own boxes are the easiest ways to bring the price down without cutting corners.

The Quickest Way to Compare Fairly

Send every company the same written inventory, ask for the same six extra charges in writing, and convert hourly estimates into a realistic range before comparing. Then choose the quote you can predict, not just the lowest number. You will find more planning guides in our moving section.
